Microsoft will soon start rolling new threshold -based auto -archiving for Exchange Online in an attempt to prevent ‘Mailbox Full’ error.
The feature works by automatically filing the oldest goods when the storage capacity when capacity, and marks a change from time-based filing (which ‘move after two years’) as email volume and attachment size continue to grow.
Public cloud customers will see the change in October 2025, when government clouds will receive the update in November.
Outlook automatically starts archiving old E emails
The exchange team explained in a blog post that the oldest E emails were automatically archived when the mailbox quota approaches 90%. This comes from feedback that users would have “proactive and automated space control” solutions.
Microsoft emphasized that auto -archiving does not replace or disrupts corporate existing filing policies – instead it acts as a failure when the space becomes tight. Maget ‘Never Move to Archive’ will also be honored and keep these e emails in the main inbox.
Auto archiving also does not interfere with data detention and retention policies because E emails will still be stored in the archive.
However, users will not be able to disable auto-archiving. “It is an error -proof mechanism to prevent disruptions in the mail flow and are only triggered when the utilization of mailbox crosses 90% (critical) threshold,” the company explained.
A separate Microsoft Roadmap Post, tracked as 395793, detailed efforts to support automatic expanding archives in addition to the normal 100 GB quota limit. Rollout is imminent, according to the note.
An update of October 8 to the blog post notes that a revised release plan for auto-archiving will be communicated “in the near future” as a result of customer feedback. From the time of writing, the blog post on October 7 has not been updated.
