- Despite the noise from new tools, the report shows that E -Mail still drives the most critical business communication
- Instant messaging is quick but only E -mail delivers structure, traceability and professional clarity
- Most modern tools serve teams but e -mail still connects entire organizations reliably and securely
As companies continue to adopt them as AI, Instant Messaging and cloud-based online collaboration platforms, e-mail can be expected to fade in the background.
However, it seems that business e -mail becomes more indispensable, and it turns out that when accountability and structure means, e -mail still leads.
The recent State of Business E -Mail 2025 report from Exctrainer, based on over 4,000 responses from global IT leaders, has revealed while communication stacks are expanded, they are still anchored via E email.
Why E -Mail remains a serious communication channel
Today’s workplace is more digitally linked than ever, yet paradoxically more fragmented, with tools such as perception, asana and Monday.com Rose to improve cooperation, and 89 percent of global IT leaders consider video conferences crucial to operations.
However, these tools often do not manage business -provoking standardization, as their adoption is typically uneven, affected by departmental needs, company size or maturity – and as a result, communication can be broken across platforms.
This complexity forces many IT teams to fall back on e -mail, which remains the most reliable means of ensuring continuity across teams and geographies.
According to research, almost half of all internal and external communication still run via E -mail, more than any other tool. For sensitive or high-stakes messages, email is preferred because it offers traceability, duration and clarity.
“We have never had more ways to connect and collaborate at work, but E -mail is still the backbone of business communication,” said Vicky Wills, Chief Technology Officer at Exctrain.
“When new tools emerge, the challenge for IT leaders is not only to choose platforms, it makes sure that they are strategically implemented. This is how we build communication environments that are clear, connected and fit the future.”
Departments such as the (56 percent), HR, Customer Success and Finance Continue to rely on E -Mail, the study found, as these are roles that require precision, auditing and structured messaging, features that instant messaging platforms often lack.
Instant Messaging is undeniably a central part of the modern business, and 89 percent of IT leaders consider it as important as E email.
While instant messaging is used for speed and informal check-ins, email handles the tasks to be reviewed, logged and revised.
For small and medium-sized companies that want to streamline communication while maintaining supervision, email remains central.
